Job Title: Administrative Assistant / Office Support Specialist
Location: Bracebridge
Job Type: Full-Time, Hourly (with transition to Salaried position after training/probationary period when all parties are comfortable)
Schedule: Monday – Friday, standard business hours. Occasional after-hours availability required (staying late as needed for urgent matters). Potential for one weekend on-call shift per month (primarily remote/phone-based coordination for emergencies)
Compensation: Competitive hourly rate based on experience (to be discussed during interview); potential for salary.
About the Role We are seeking a reliable, detail-oriented, and energetic Administrative Assistant to join our busy team
in a fast-paced environment. This role supports daily operations, including front-line customer service, data management, maintenance coordination, and general office support. While the pace can be intense during peak times, slower days offer perks and a more relaxed atmosphere to recharge. We value someone who thrives under pressure but also appreciates balance.
Key Responsibilities
• Perform accurate data entry and maintain records in various systems
• Answer incoming phone calls professionally, take messages, and direct inquiries appropriately
• Respond promptly to maintenance requests, coordinate with local contractors, schedule repairs, and follow up to ensure completion
• Schedule appointments, meetings, and site visits for the manager and team
• Handle general filing (physical and digital), document organization, and record-keeping
• Provide additional administrative support as needed in a dynamic office setting
Requirements
• Valid driver's license and reliable transportation (required for occasional errands or coordination)
• Strong computer skills and comfort with office technology
• Proficiency in Microsoft Word and Excel; knowledge of Microsoft Access is a big plus
• Excellent phone etiquette, communication skills, and ability to multitask effectively
• Ability to work in a fast-paced environment while remaining calm and professional
• High attention to detail, strong organizational skills, and a proactive attitude
• Previous experience in administrative support, property management, customer service, or similar roles is preferred but not required
