Property Management Executive Assistant & SOP Creator
Location: Hybrid (Airdrie home office), Remote
Travel: Required between properties located between Sylvan and Airdrie.
Compensation: Hourly – Negotiable Based on Experience
Type: Part Time (Hours fluctuate seasonally- higher in spring/ summer)

Overview:

We own and operate a small residential rental portfolio. We are seeking an Executive assistant and SOP Creator to take ownership of day-to-day operations while building and optimizing efficient systems.

This position will work closely with us to learn the portfolio. You will focus on communication, execution, automation, and systemization. Your primary goal is to transition our portfolio into a hands-off, systems-driven operation primed for future growth.

Core Responsibilities

1. Operations & Administration
Oversee day-to-day portfolio operations
Advertise properties
Prospective tenant vetting (daily communication, pre-screening calls, showings, etc.)
Coordinate tenant turnovers (inspections, leases, cleaners, etc.)
Handle daily tenant communication, conflict resolution, and problem-solving
Maintain condition of properties (assist in sourcing and managing contractors)
Take emergency calls (24/7 or scheduled on-call shifts)
Travel between Airdrie, Crossfield, Didsbury and Sylvan Lake as required

2. Systems & Process Development
Audit current processes and identify inefficiencies
Design and implement repeatable SOPs
Build scalable systems to automate and streamline portfolio management
Implement property management software
Delegate smaller tasks to VA, administrative assistant, or handyman/ contractors
Required Skills & Experience

Prior residential property management experience REQUIRED
Strong system-building capability (process design, automation, SOP creation)
Highly organized and detail-oriented
Strong communication and interpersonal skills
Effective conflict resolution abilities
Strong written communication skills (contracts, postings, tenant correspondence)
Comfortable working independently and making judgment calls
Responsiveness and high availability to respond timely to tasks, tenants and new applicants.
Must have a valid Driver’s Licence and vehicle for travel

Proactively improves systems rather than maintaining the status quo
Comfortable delegating and managing contractors
Strong intuition with people and tenant dynamics
Solutions-oriented with strong problem-solving ability
Calm under pressure during emergencies
Interested in long-term operational excellence and scalability
Furnished or Short-term experience would be an asset
Practical “handyman-level” understanding of property maintenance
