LETOURNEAU LLP is seeking a professional, organized, and client-focused Office Administrator / Reception Coordinator to join our team in Lethbridge.

This is a pivotal role within our firm. As the first point of contact for clients, referral sources, and visitors, you will help shape the experience people have when they contact or visit our office. In addition to reception duties, you will assist with office administration, client intake, file management, scheduling, and supporting the day-to-day operations of a busy law practice.

The Role

This position combines reception, administration, client service, and office coordination responsibilities. The successful candidate will play a critical role in ensuring our office operates smoothly, efficiently, and professionally.

You will assist lawyers, legal assistants, clients, and service providers while helping maintain the high standard of service for which our firm is known.

Key Responsibilities

Reception & Client Service

Greet clients and visitors in a professional and welcoming manner.
Answer, screen, and direct incoming telephone calls.
Respond to general inquiries and provide basic information regarding the firm's services and office procedures.
Receive and process client payments and retainers.
Assist clients with forms, appointments, and consultations.
Maintain a positive and professional reception experience for every client interaction.
Establish client relationships based on confidentiality, trust, and exceptional service.

Client Intake & Scheduling

Process new client inquiries and consultation requests.
Conduct conflict checks and assist with lawyer allocation.
Send intake forms and respond to consultation inquiries.
Schedule appointments, consultations, and meetings.
Assist with scheduling mediation and arbitration-related meetings.
Prepare and coordinate Terms of Engagement for mediation and arbitration matters.

Office Administration

Open and close client files.
Manage incoming correspondence, voicemails, and administrative requests.
Track staff vacation, sick days, and absences.
Reconcile and process various administrative accounts and payments.
Receive invoices and coordinate payment processing.
Coordinate service providers, including shredding, recycling, couriers, and messenger services.
Maintain office supplies and ensure adequate inventory levels.
Assist with outgoing mail, courier packages, and registered mail.
Support lawyers and staff with additional administrative projects as required and commensurate with training and experience.

Office Operations

Ensure reception, meeting rooms, kitchen facilities, hallways, photocopy areas, and common spaces remain professional and well-maintained.
Help maintain an organized, welcoming, and efficient office environment.
Monitor office facilities and coordinate service calls when necessary.
Assist in maintaining storage and filing systems.
Support general office operations and workflow management.

Financial & Record Management

Process trust and general payments.
Record and post receipts in the firm's practice management software.
Assist with administrative record keeping and reconciliations.
Maintain accurate records of financial transactions and administrative activities.
Ensure documentation is organized, accurate, and up to date.

Qualifications

The ideal candidate will possess:

Previous experience in reception, administration, customer service, or office management.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
A professional and welcoming demeanour.
Exceptional attention to detail and accuracy.
Strong computer skills, including Microsoft Office.
The ability to handle multiple priorities in a busy office environment.
Sound judgment, discretion, and professionalism.
A commitment to excellent client service.

Preferred Experience

Preference may be given to candidates with experience in:

A law firm, professional office, or administrative setting.
Client intake and appointment scheduling.
Legal or professional services environments.
Practice management software such as LEAP.
Financial administration, accounts processing, or trust-related transactions.
