Job Description:
- Review and evaluate new administrative procedures
- Establish work priorities and ensure procedures are followed and deadlines are met
- Assemble data and prepare periodic and special reports, manuals and correspondence
- Resolve conflict situations
- Coach
- Maintain and monitor project budgets, track expenditures against forecasts, and flag variances to leadership
- Prepare and distribute weekly and monthly project status reports to stakeholders and senior management
- Coordinate task assignments with the Project Manager and ensure deliverables are tracked through to completion
- Schedule and facilitate project meetings, including stand-ups, sprint planning, retrospectives, and stakeholder reviews
- Prepare meeting agendas, document minutes, and follow up on action items
- Lead testing activities, coordinate test plans, track defects, and report on quality metrics
- Generate burn-up and burn-down reports to track project progress and team velocity
- Plan and coordinate onsite travel for project team members, including logistics, scheduling, and travel approvals
- Lead hypercare support meetings post go-live, triage incoming issues, and coordinate resolution across teams
- Prepare Statements of Work (SOW) and Change Orders (CO), including scope definition, deliverables, timelines, and pricing
- Conduct root cause analysis (RCA) on project issues and incidents, document findings, and recommend corrective actions
- Maintain project documentation, including risk logs, issue logs, and change requests
- Liaise between technical teams, business stakeholders, and external vendors
- Track project timelines, dependencies, and milestones using project management tools
- Identify project risks and escalate with proposed mitigation strategies
- Onboard new team members and provide guidance on project processes and tools
- Support resource planning and capacity forecasting
Requirements
- Education: Completion of a college program of at least two years in IT or related fields is required.
- Experience: At least 2 years of experience in a senior clerical or executive secretarial position related to office administration is required
- Previous experience in SAP related projects or project management is required
- Ability to supervise at least 10 workers.

- Computer skills: Microsoft office – Outlook/Word/Excel/Powerpoint, Jira, Power BI, Service Now, Microsoft project, Microsoft Copilot, Confluence, Google suite
Salary: $36.92 hourly, 30 hours per week.

Important Information: Flexibility on schedule is required. The daily hours vary depending on project needs and different time zone requirements. Job involves at times work on weekends, holidays, on-call work, graveyard shift. Overseas travel required depending on projects requirements; typical travel within Monday to Friday with occasional weekend and holiday travel required.
