Acceleration Auto & Performance is one of—if not the—best performance and race shops in Western Canada. We do it all: mechanical, fabrication, modifications, tuning, custom projects, and more. Domestic is our expertise; whether it’s a classic, muscle, or modern build, we work on them all.

We deal with incredibly unique projects every single day, and we need a highly organized professional to hold down the front office so our techs can keep their hands on the tools.
The Role: You are the face, voice, and organizational engine of Acceleration Auto & Performance. As the Front Office Administrator, you will keep the shop running smoothly by managing customer relations, overseeing daily admin and bookkeeping, and ensuring seamless communication between the front desk and the shop floor.

Compensation:
Full-Time Wage $20.00 – $25.00 / hour (Based on interview and experience)

Key Responsibilities:
Front Desk & Customer Experience -
Be the Face of the Shop: Maintain a presentable, professional appearance and provide elite, 5-star customer service to both active clients and newcomers.
Communications Hub: Be readily available on the shop phone during business hours and manage the shop Gmail account (handling or transferring sales leads).
Reputation Management: Manage our Google Reviews page by thanking positive reviewers and addressing any issues urgently. Actively encourage customer reviews via invoices and texts.
Point of Sale: Manage work orders, invoicing, the checkout process, and payment collection.
Operations & Parts Management -
Workflow Coordination: Oversee the schedule and bookings. Stay on top of job timelines, notify the foreman of arrivals, and ensure technicians know when things are urgent.
Parts & Inventory: Enter and manage inventory in our system. Order parts from our trusted vendors, handle incoming materials, sort them to the appropriate techs, and update counts.
Shop Support -
Track technician job hours and ensure the shop software is being used correctly.
Help with miscellaneous admin tasks to assist the mechanics so they can stay on the tools.
Bookkeeping & Administration -
Financial Admin: File receipts, stay on top of QuickBooks Online (QBO) bookkeeping, and ensure all bills are current and paid.
Reporting: Issue a weekly report detailing Accounts Receivable (AR) and Tech Billables (Work in progress, status, amounts due, and technician performance).
Compliance: Ensure all business licenses, insurance policies, and dealer plates are up to date and renewed on time.
What You Bring to the Table (Requirements):
Previous administrative or front-office experience. Bookkeeping (QBO) experience is a bonus.
Highly comfortable working with the Microsoft Office Suite and general shop management software.
Fluent in English with exceptional written and verbal communication skills.
Must have an active Alberta Driver’s License and be able to pass a clean criminal background check.
Reliable, trustworthy, organized, and capable of working independently in a busy environment.
