Real Estate Office Administrator – River Street Real Estate
Location: Medicine Hat, AB
Position Type: Full-Time Monday to Friday
Compensation: To be determined based on experience (health/dental benefits (after 3-month probationary period.)

The Role
As our Real Estate Office Administrator, you are the backbone of our operation and the first point of contact for our clients. This is not a typical "sit and wait for the phone to ring" desk job. You will manage the entire lifecycle of our listings, coordinate conveyancing documentation, and ensure no detail slips through the cracks.
Key Responsibilities
Transaction & Listing Coordination: Review and manage properties on local real estate boards; review and enter listing agreements, purchase contracts, and amendments using WebForms, DocuSign, and Lonewolf.
Conveyancing Pipeline: Liaison with local lawyers, real estate agent, and other brokerage administrators to ensure deal files are accurate, complete, and conveyed on time.
Client Experience: Greet office visitors, manage incoming phone/email inquiries with warmth and professionalism.
Database Management: Maintain and update client records.
Office & Marketing Support: Manage office supplies, organize digital and physical filing systems, and occasionally assist with local marketing compliance or social media postings.
Property Management Division Support: includes all office duties; from answers the phones, writing lease agreements, collecting rent etc.
What You Bring to the Table
Experience: Minimum 2 years of administrative assistant or office management experience in a fast-paced environment (Direct real estate brokerage, legal conveyancing, or property management experience is highly prioritized).
Technical Savvy: High proficiency with Microsoft Office (Word, Excel,) and tech-forward real estate tools. Comfort learning new software quickly is a must.
Unmatched Organization: You thrive under tight deadlines, possess ironclad attention to detail, and love turning administrative chaos into organized systems.
Credentials: A valid Class 5 Driver’s License and reliable vehicle are required. A clean background check/police clearance will be requested upon hire.
Local Connection: Knowledge of Medicine Hat’s neighborhoods and community dynamics is a major asset.
